DeepL: Features, Plan Limits and Export Product Translation

DeepL offers document translation, glossaries, style rules and translation memory on higher plans. Includes a proposed export sheet workflow with local review.

Independent editorial guide, written with AI assistance. Examples are hypothetical; no hands-on product testing or owner interviews were performed. Features and prices may change. Our editorial method.

Evidence note: Product features and plan details were checked against DeepL's official Translator page and Pro pricing page on 2 November 2026. Plans and limits change, so confirm them on those pages before you buy. ShiftToAGI is independent and is not affiliated with DeepL.

DeepL is an AI language platform built around a translator for typed text and documents. The same platform also lists a writing assistant (Write), real-time voice translation (Voice) and an API for connecting translation to other systems (DeepL Translator). For a small business selling across borders, the practical question is less about general accuracy and more specific: can DeepL produce a first draft that a local reviewer corrects quickly, while fixed product terms stay consistent?

A hypothetical export problem

This scenario is fictional. Mara runs a six-person company that makes stainless steel kitchen tools. A distributor in Lyon and a retailer in Kraków both want French and Polish spec sheets before a trade fair in three weeks. She has 40 product sheets in Word and budget for one freelance reviewer per market for two days.

The complication is one name. "Grip Lock" is the company's trademarked handle feature and must never be translated. Last year a different process turned it into a literal French phrase on a printed catalogue, and the distributor had to sticker over the error. Mara's reviewers have time to check meaning. They do not have time to hunt for brand slips across 80 translated files.

DeepL has documented controls aimed at this kind of problem. Whether they are enough is something only her own pilot and her reviewers can answer.

What is DeepL?

DeepL takes text or files, detects or accepts a source language, and returns a translation in a chosen target language. The translator page lists more than 100 languages (DeepL Translator).

It helps to separate three kinds of capability:

Which DeepL features matter for product information?

Document translation

The translator accepts PDF, Word (.docx) and PowerPoint (.pptx) files, and DeepL says file translation preserves formatting and layout (DeepL Translator). Spec sheets, price lists and decks are designed files, so this matters more than plain text translation. Every plan caps files per month and file size, which shapes how you batch work (see costs below).

Glossaries

A glossary tells DeepL how to render specific terms for a language pair. The plan comparison lists glossary upload via CSV, shared glossaries and a glossary generator, and the number of entries per language pair rises by plan: 5 on Free and Individual, 1,000 on Team, unlimited on Business and Enterprise (DeepL Pro). Five entries will not cover a product catalogue. Which plans include CSV upload and the generator was not clear from the page text, so check before choosing.

Style rules and tone

The comparison lists shared style rule lists (5 on Team, 20 on Business, unlimited on Enterprise) and a formal/informal tone option (DeepL Pro). Register matters in French and Polish trade writing. Confirm that tone is offered for your specific language pairs.

Translation memory

Business and Enterprise list translation memory, under a fair usage policy (DeepL Pro). In general, translation memory stores approved segments for reuse. DeepL's pricing page does not describe its implementation, so treat the benefit for repetitive catalogues as something to verify.

Data handling for Pro subscribers

DeepL states that Pro content is stored temporarily only as technically needed, deleted afterwards unless otherwise specified, and not used to train its models, and it cites ISO 27001 and SOC 2 Type II certified processes (DeepL Pro). That is a vendor statement, not an audit you performed. Before translating contracts or customer records, read the Trust Center and privacy policy linked in DeepL's site footer.

DeepL also lists apps and integrations for Microsoft Word, Microsoft 365, Google Workspace and browsers, and says it is available in Microsoft Copilot, ChatGPT and Claude via MCP (DeepL Translator). Requirements for each were not reviewed here.

Who does DeepL suit?

It fits teams that repeatedly translate similar business material and have access to a native-speaking reviewer: a founder signing a first foreign distributor, an operations lead maintaining multilingual product data, a support manager handling a few foreign-language inboxes. It is weak value if nobody on your side can judge the output.

Practical applications by role

  1. Export or sales lead. Draft spec sheets and distributor onboarding packs, with a glossary holding brand names and technical grades fixed.
  2. E-commerce operator. Produce first-draft product descriptions for a new storefront, then have a local reviewer adjust claims, sizing and care language.
  3. Customer support lead. Understand incoming messages in unfamiliar languages and draft formal replies. A person approves anything about refunds, defects or safety.
  4. Operations manager. Translate warehouse procedures for a multilingual team. Safety instructions and employment terms need qualified human review before anyone relies on them.
  5. Founder in meetings. Voice is described for real-time translation in virtual meetings and in-person conversations (DeepL Translator). Use it as a conversation aid and confirm agreed terms in writing.

A proposed workflow: export spec sheets with local review

This workflow is illustrative, not a product test. All inputs and outputs are fictional fixtures.

Step 1. Pick a pilot set. Choose 5 of the 40 sheets: two simple, two technical, one with a safety warning. Strip internal cost notes and anything not meant for buyers. Five files into two languages likely means 10 file translations. Whether each target language counts against your monthly file allowance is not stated on the pricing page, so check your usage counter after the first file.

Step 2. Build the glossary. Fictional input:

English French Polish
Grip Lock Grip Lock Grip Lock
18/10 stainless steel acier inoxydable 18/10 stal nierdzewna 18/10
dishwasher safe missing, reviewer decides missing, reviewer decides

Keep the entry as the brand name alone, so the surrounding word for "handle" can still be translated naturally. Missing data: never guess a term. Leave unresolved terms out of the glossary and list them for the reviewer.

Step 3. Write the brief. Copy and adapt:

DEEPL PILOT BRIEF: EXPORT SPEC SHEETS
Languages: French (France), Polish (Poland)
Audience: trade buyers and distributors
Tone: formal (confirm option exists for each pair)
Glossary: brand names fixed; unresolved terms listed below
Keep exactly: measurements, material grades, model numbers
Unresolved terms: [list] - reviewer decides before release
Safety or legal text: reviewer checks line by line, owner approves
Reviewer tags each fix: terminology / tone / meaning / formatting
Stop if: a safety warning changes meaning or a brand name is altered
Data: no customer names, prices or internal notes in uploads

Step 4. Translate the pilot. Upload the files with glossary and tone selected. Configuration unknown: the pricing and translator pages do not confirm that glossaries and tone apply to file translation, not only text. If they do not, translate the short text blocks containing key terms separately and compare. Sample fictional output: "Grip Lock, acier inoxydable 18/10, compatible lave-vaisselle." Your team then highlights "compatible lave-vaisselle" because that term was unresolved.

Step 5. Local review. Each reviewer corrects the files, tags every fix, and checks the safety sheet against the English source.

Step 6. Human approval. Mara approves release. Nothing goes to the distributor, retailer or printer without her sign-off.

Step 7. Measure. Per file, record reviewer minutes, fixes by category, and any brand, number or safety error. Set thresholds before starting, for example zero brand errors and zero safety meaning changes.

Step 8. Continue or stop. If thresholds pass, add reviewer decisions to the glossary and run the remaining 35 sheets in batches that fit your file allowance. If a brand or safety check fails, stop machine drafting for that document type and use a professional translator, then retest after fixing the glossary.

What does DeepL cost and what are the limits?

On the Pro pricing page, checked 2 November 2026, the display showed Germany (EUR) with prices labelled billed annually:

That display states VAT is included. Monthly billing, other regions and other currencies were not verified. File translations per user per month are 1 (Free), 3 (Individual), 20 (Team) and 100 (Business), with maximum file sizes of 5 MB, 30 MB, 30 MB and 100 MB. Monthly characters are 50,000, 300,000 and 1,000,000 per user on Free, Individual and Team; Business lists unlimited under fair use (DeepL Pro).

Those numbers change the pilot plan. Free and Individual cannot handle ten file translations in one month, so a realistic pilot means Team (bulk file translation starts there) or pasting text. Free 30-day trials are listed for Individual and Team, not for anyone who has had a DeepL trial before. Write Pro is an add-on on Individual and Team at €6.99 per user per month billed annually, VAT included, and is listed as included on Business (DeepL Pro).

Include reviewer time in your own cost estimate alongside the subscription. This workflow retains a human language review.

Who should skip DeepL?

Skip or delay it if nobody can read your target languages, if most of your content is regulated labelling or contracts where you may need certified translation, or if you translate a few short messages a year that the free version covers.

FAQs

Does a glossary remove the need for review?

No. It covers only the terms you list. It cannot tell you whether a claim is allowed in the target market or whether an unlisted term reads well.

How should a small exporter choose between Team and Business?

Count files per month across all target languages, then glossary size. If either regularly exceeds Team's allowance, or you want translation memory, price Business.

Can I paste customer emails containing personal details?

Remove addresses, order histories and payment details the reply does not need, and read the data terms for your plan first.

Practical next step

This week, list the 20 terms your business must never get wrong, find one native reviewer per market, and estimate your monthly file count per language. Then run the five-file pilot on a plan whose allowance covers it and decide from your own review numbers.
